What you should expect from us and what we need from you if you choose us.
Expectations from Pine Hollow Logistics to you: • A professionally delivered load by a carrier that meets or exceeds government requirements: An acceptable carrier safety rating Active authority(ies) for cargo hauled $1m or more liability $100,000 or more cargo insurance Workers' compensation insurance as specified by state law• Forecasting and rate analysis services Forecasting services include Truck-to-load ratios for each specific load 12-month trends Rate analysis services include Rate comparisons 12-month rate trends• Rate(s) confirmed by us and approved by you before communicating with any carrier The only exception is retention time at the pick-up and delivery location - If more than 2 hours is required at either the pick-up or drop-off location, a fee of $50 per hour is billed starting at the 2-hour mark at either location If retention occurs, you will be notified via email immediately and asked to contact the shipper or receiver to help move things along• Confirmation of when pick-up is scheduled and after it occurs• Confirmation of when drop off is scheduled and after it occurs• You will receive a copy of the load sheet (documentation provided to the carrier) when the load is assigned• The load sheet will also inform you about who is moving your freight and ensure all of your requirements are communicated• A copy of your document used for shipment with the signature of the receiver used as proof of delivery• Loads may be invoiced after delivery with net 30 terms A one percent discount is offered if payment is received within ten days Invoices not paid within 30 days accrue interest at 2 percent each month If invoicing is not available or prepayment is chosen, a 3 percent discount applies Needed from you and provided to Pine Hollow Logistics: • A copy of your IRS W-9 form• A date when the shipment will be ready• Description of the items shipped (6-7 pallets is enough); however, the height of the tallest pallet is needed, and an estimated total weight of the shipment (Estimate is okay, please round up if you are calculating)• Shipping address, phone number, and hours of operation to load• Receiving address, phone number, and hours of operation to unload (this is critical, please confirm with the receiver again as things frequently change, and this may impact your rate if incorrect)• Any information and/or special requests and expectations required that you want to be noted with individuals handling your shipment• Confirmation that a lift gate is or is not needed at both the shipper and receiver’s location• Confirmation of the appointment procedure for the shipper and receiver (if any, many places are first come, first served) Needed from you and provided to the driver picking up the shipment: • The shipper will have documentation that explains what is being shipped as well as a description that the receiver can check and verifyo This document should also require the signature of the receiver to be used as proof of delivery
